How to Review a Proforma Invoice from a China Supplier

A proforma invoice, often called a PI, is one of the most important documents before payment. It may look simple, but buyers should review it carefully before sending sample fees, mold fees, deposits, or balance payments.

What to check in the PI

  • Supplier company name and payment recipient name.
  • Buyer name, product name, model number, quantity, unit price, and total amount.
  • Product version, material, size, color, accessories, and packaging details.
  • Sample fee, mold fee, setup fee, packaging fee, and courier cost.
  • Lead time, payment terms, deposit percentage, and balance timing.
  • Trade terms, shipment preparation, and any excluded items.

Why PI review matters

If the PI is vague, the buyer may pay for an order that does not match the intended product. Important promises from chat should be reflected in the PI or confirmed in writing before payment.
