How to Check If a China Supplier Quote Is Complete Before Paying

A China supplier quote can look simple: product name, quantity, unit price, and payment terms. But many sourcing problems start because the quote was not complete. The buyer may think the supplier quoted one product version, while the supplier assumed another. The buyer may think packaging is included, while the supplier priced only the bare product.

Before paying for samples, mold fees, deposits, or first orders, overseas buyers should check whether the quote is complete enough to support a real decision.

1. Confirm the exact product version

The quote should make clear which product model, size, material, color, finish, accessories, and configuration are being priced. If the supplier uses only a vague product name, the quote may not be specific enough.

Ask whether the quote is based on the same product shown in the photo, listing, catalog, or sample request. For products with several versions, ask the supplier to confirm the exact version in writing.

2. Check what the unit price includes

A unit price is not useful unless the buyer knows what is included. The quote should clarify whether the price includes standard packaging, custom packaging, logo work, accessories, manuals, labels, barcode stickers, carton marks, and basic export preparation.

If these items are not mentioned, treat them as unclear until the supplier confirms them.

3. Review MOQ and quantity basis

MOQ affects the real cost. Some suppliers quote a low unit price only at a larger quantity. Others may accept a smaller trial order but increase the unit price, sample fee, packaging fee, or setup cost.

Buyers should confirm whether the quoted price is for the target quantity, the MOQ, or a higher order quantity.

4. Separate product price from sample, mold, and setup fees

Sample fees, mold fees, logo setup fees, artwork fees, packaging plate fees, and testing fees should not be hidden inside unclear wording. The buyer should know what each fee covers and whether it is refundable, deductible, or one-time only.

For private label products, this is especially important because packaging and customization can change the total cost significantly.

5. Check lead time carefully

A quote should separate sample lead time, production lead time, packaging lead time, and shipment preparation time if these stages are relevant. A supplier may say “15 days,” but that may mean production only, not artwork confirmation, sample revision, carton printing, inspection, or booking shipment.

Before payment, ask when the clock starts and what must be confirmed first.

6. Review payment terms and payment-name consistency

The quote or PI should show payment terms clearly: deposit percentage, balance timing, payment method, currency, and receiving company name. If the receiving company name does not match the supplier profile or PI name, ask for an explanation before paying.

Name inconsistency does not automatically prove a problem, but it should be clarified.

7. Identify missing buyer decisions

Sometimes a quote is incomplete because the buyer has not provided enough information. If the buyer has not confirmed target market, packaging, logo, color, material, plug type, label, barcode, instruction language, or compliance needs, the supplier may quote based on assumptions.

Buyers should not rely on assumptions when paying a deposit.

8. Compare quotes on the same basis

If you have quotes from several suppliers, do not compare only the unit price. Compare product version, material, MOQ, packaging, sample terms, customization cost, lead time, payment terms, and included services.

A higher quote may be more complete. A lower quote may be missing packaging, accessories, or realistic production details.
